S600 - Invu Network Document Management System

S650 - Invu Network Document Management System with Workflow

This system has all the benefits of S600 (above) but in addition brings the tremendous advantages of workflow to its users. Workflow is the intelligent routing of any documents around the organisation in a pre-defined, controlled and audited manner. With the ability to apply timescales, priorities and statuses S650 enables full automation of document routing for your key business processes. Users see tasks in their “Worktrays” and are thus prompted to action those tasks. Once actioned, the tasks are automatically sent to the next person and so on. By the use of this feature a whole host of benefits can be derived. Just one of these benefits is that an organisation can see the exact stage of any documents in any given process, e.g. how many invoices are currently on hold.

i600 - Invu Search, Retrieve and View Client

This software allows a user to access an existing Invu S600 or S650 database but in a search retrieve and view mode. An i600 user cannot add, edit or scan files into the database. The user’s ability to view files is always controlled by the security associated to that document. This product is ideal for remote users who only need to view files such as customers or contractors. It is also a great tool for internal staff who simply want to view files that have been added by others users who need to see copies or contracts or invoices.

Invu Link Manager

Introduced as part of the Document Processing Engine (DPE), Invu Link Manager allows information to be read from an XML based file format that includes the path to the document that needs to be imported into Invu. Through an easy to use, sophisticated and ordered interface the Link Manager utility provides the ability to map structurally the location of indexing data in the XML file format for passing into the Invu system along with the physical file. Based on the processing requirements this module can either be set to load manually or automatically; this can be incorporated into the day to day practice for automated document archiving if required.

Invu NETSCAN

Also encompassed within the Document Processing Engine (DPE), Invu Netscan provides the ability to import documents into Invu from network locations for standard or bulk indexing and workflow initiation. Invu Netscan allows customers to integrate existing network scanning devices for the automated import of documents into the Invu system. Running as a service this aspect of the DPE will be configured to poll numerous network locations within a specified time period and move the files into the pre-configured areas of the system. Documents captured using the Invu Netscan can be delivered into user Intrays, indexed into the Invu system based on common attributes or it can be set to automatically initiate a workflow process.

Invu Research Service - Instant Access to Invu Documents via Microsoft Office 2003

This service allows users to search, display and send links to documents stored in Invu to other Research Service users who are able to log on to the same system. From the familiar interface of Microsoft Office 2003, users can look up information stored in Invu and display it. It has all the security of Invu, so every time a file is accessed it is audited whilst giving the flexibility of being in the application you are working in. In addition to this, once you have found the document, you can then send a link to another user for them to look at the file. This means less traffic and easy access (where permitted) to your information.

CodeFree Integration - Integration without the Expense of Programming

Utilising the data held within third party applications this product allows detailed searches to be performed against documents stored in the Invu database. This can be done using a simple user interface or indeed through a simple drag and drop. CodeFree enables document searches to be driven through your line of business applications allowing quick and efficient document retrieval with a minimal amount of fuss. With a variety of trigger methods, it means CodeFree can cater for almost all third party applications.

Although the user may never see the Invu client, the Invu client must be installed to obtain all the functionality of CodeFree integration.

Advanced CodeFree Integration - Integration Without the Expense of Programming, With the Added Advantage of Screen Scraping Technology.

Utilising the data held within third party applications Advanced CodeFree Integration allows detailed searches to be performed on the existing Invu database, as well as the ability to capture data from third party applications to be utilised for document indexing. With all the benefits described above, Advanced CodeFree gives users the ability to automate the indexing process by scraping data from both windows and emulated applications, thus saving time, increasing accuracy as well as providing consistency with the line of business application. By virtue of this technology the scanned (or electronic) document is completely and exactly linked to your existing windows or emulated product. Configured through simple user interfaces, both CodeFree and Advanced CodeFree provide the end user with an invaluable tool without internal development or programming resources which creates a flexible and seamless link into existing business applications.

Invu Intelligent Processing Engine (IPE)

The IPE is a “black box” service that sits server side intelligently interpreting data provided by the Document Processing Engine or other sources. The IPE very quickly analyses millions of words, or phrases, even where there are spelling mistakes or OCR errors in the original. New semantic knowledge such as supplier, product and contact names can easily be provided to it from Invu’s attributes or customer’s databases, automatically and repeatedly as the data changes. This information can be analysed and intelligently processed to allow the knowledge within the document to be unlocked. A good example of this is Intelligent Invoice Processing. This can take scanned invoices and automatically extract relevant data such as supplier names, telephone numbers, dates, invoice numbers, purchase order numbers, invoice totals, and item descriptions, quantities and monetary amounts. The invoice will flow through the Invu Workflow system whilst data can also be provided to suitable accounting packages. A second example is the Intelligent PostRoom, which analyses letters (mainly incoming but outgoing if desired) in a similar way, providing Invu with further indexing information and then sends workflow messages either to the addressee, or else to a member of staff whose knowledge best matches the contents of the letter.
